Privacy Policy

The Enterprize Ship Trust is a not-for-profit organisation that maintains and operates the schooner Enterprize with the aim of providing to Victorians and others a sailing experience representative of Australian coastal trading during the mid-19th century.  As such, the Trust gathers information about employees, volunteers, passengers, and others.

This Privacy Policy outlines our ongoing obligations to you in respect of how we manage all personal Information.  We have adopted the Australian Privacy Principles (APPs) contained in the Commonwealth Privacy Act 1988.  The APPs govern the way in which we collect, use, disclose, store, secure and dispose of your Personal Information.  We are also bound by the Victorian Health Records Act 2001.

In general, we:

  • Collect the minimum information necessary, and only for the purposes it was intended.
  • Collect information from you directly, with your consent and understanding as why it is being collected.
  • Allow you to access information held about you and provide the means for you to update anything that is incorrect.
  • Control access to private and sensitive information.
  • Destroy information that is no longer needed, as soon as practical.

What information do we collect, and why?

Paid Employees

We collect information from people applying to work with us, and during their employment, for these purposes.  This includes identity, contact, employment and education history, referee details and opinion, medical details, any history of criminal behaviour, financial history (banking, tax, and superannuation) and other details.

Volunteers

Most of the work on Enterprize is done by volunteers.  From these, we will collect identity, contact, emergency contact details, medical details (incl. allergies and dietary preferences), and details of maritime and other skills that might be useful in their work. We collect such Information for the primary purpose of operating Enterprize most effectively, communicating with you, for your health and safety when working or sailing on Enterprize, and knowing what skills you have to offer.

Customers/Passengers

From customers we generally only collect contact information: names, email addresses and phone numbers.  However, if a passenger was intending to join for an extended voyage, we would capture the same sort of information that we capture for volunteer crew: emergency contact details, medical details, and details of maritime and other skills.

Others

Other people that the Enterprize Ship Trust may deal with include prospective customers, supporters, donors, suppliers, contractors, and members of associated maritime and other bodies.  For these, we will typically only keep information needed to be able to contact such people.

How We Handle Information We Collect

What is Personal Information and why do we collect it?

Personal Information is information or an opinion that identifies you.  Examples of Personal Information we collect include names, date of birth, addresses, email addresses, and phone numbers.

Sensitive Information

Sensitive information is defined in the Privacy Act to include information or opinion about such things as your racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record, or health information.

With one exception, the Enterprize Ship Trust will not capture sensitive information.  The exception is health information (e.g., chronic conditions, allergies, and vaccination statuses) of volunteers and voyage passengers.  If you choose to tell us about memberships of professional or maritime organisations, we will retain that information too.

Collection of Information

Where reasonable and practicable to do so, we will collect your Personal Information only from you.  However, in some circumstances we may be provided with information by third parties.  In such a case we will take reasonable steps to ensure that you are made aware of the information provided to us by the third party.

Use and Disclosure

By default, we keep all Personal and Sensitive information secure and accessible only by ‘trusted’ staff and volunteers; that is, those that have signed the Enterprize Privacy Protection Agreement.

Apart from the above, your personal information may be disclosed in limited circumstances:

  • Where you specifically consent to its disclosure.
  • In an emergency (e.g. medical details to First Aiders or paramedics)
  • Where required and authorised by law.

Your Personal and Sensitive Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification, or disclosure.

When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy it within twelve months.

Access by Individual

You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions.  Volunteers can do this online at any time, and are encouraged to do so, to help ensure that the information is accurate and up to date.  Otherwise, others may request access to their Personal Information, by contacting us in writing.  The Enterprize Ship Trust will not charge any fee for this.
